Creating & Managing Play Dates

Organize your golf outing from tee times to final scores.

A Play Date is a scheduled golf outing for your Play Group. As an admin or owner, you create the event, players opt in or out, you generate the tee sheet with pairings, and then everyone scores live on game day. Here’s how the entire workflow works.

Step 1: Create a Play Date

Navigate to Play Dates from the menu and tap the + button to create a new one. You’ll fill in the following details:

  • Play Date Name (optional) — Give your outing a fun name like “Saturday Showdown”
  • Date & First Tee Time — Pick the day and starting time
  • Course — Select from the courses assigned to your Play Group
  • 9 or 18 Holes — Choose your round length
  • Notes & Instructions — Add any special rules or info (up to 2,048 characters)
  • Players per Tee Time — Typically 4 for a standard foursome (options: 1–10)
  • Number of Tee Times — How many groups you need (admin only)
  • Minutes Between Tee Times — Spacing between groups (admin only)
  • Pairing Method — The algorithm for auto-generating player groupings (admin only)

Tap Save when you’re done. All members of the Play Group will be able to see the new Play Date.

Tip: Members can view play date details but only admins and owners can edit tee time settings and pairing methods.

Step 2: Player Opt-In / Opt-Out

Once a Play Date is created, every member of the Play Group can RSVP. Open the Play Date and you’ll see three player lists:

  • Players IN (green) — Confirmed for the outing
  • Players OUT (red) — Declined
  • Undecided (gray) — Haven’t responded yet

Each player has a green checkmark button and a red X button. Tap the checkmark to opt in, or the X to opt out. A confirmation alert will appear before any change is saved.

Members can only change their own status. Admins and owners can opt players in or out on their behalf — useful for managing non-app users or collecting RSVPs from the group chat.

Player counts update in real time at the top of the screen, showing totals for Invited, In, Out, Waitlist, and No Response.

Step 3: Set Course Handicaps

Before scoring begins, admins should set each player’s course handicap. Open the Play Date and navigate to the handicap editor. You’ll find two sections:

Player Scoring Averages

Tap Calculate to analyze each player’s last 10 rounds. The app computes scoring averages, Stableford averages, and a Revised Golf Handicap Index (RGHI). Players with 5 or more rounds show calculated values in blue. Players with fewer rounds show editable fields in red so you can enter values manually.

Player Handicap Indexes

Enter each player’s USGA handicap index. The app automatically calculates the course handicap using the standard formula: (Handicap Index x Slope Rating / 113) + (Course Rating – Par). Use the +/- button for scratch or plus-handicap golfers. The Sync RGHI button lets you copy values between the RGHI and USGA fields.

All handicap values are saved automatically when you leave the screen.

Step 4: Generate & Share the Tee Sheet

The tee sheet shows your final player pairings organized by tee time. Each group displays the starting time, starting hole, and the players assigned with their course handicaps.

Sharing Options

Choose who receives the tee sheet email using the toggle at the top:

  • Confirmed Players Only — Just those who opted in
  • Entire Play Group — All group members
  • Unresponsive Members — Only those who haven’t replied (great for nudging)

Then choose your send method:

  • Send Full Details — Sends the complete tee sheet with course info, pairings, handicaps, and any challenge details
  • Send Custom Message — Opens the mail composer so you can write your own message
  • Send Notifications (admin only) — Sends an iMessage to each player with their tee time, playing partners, and course

Tip: Players shown in red text on the tee sheet have email notifications turned off. Tap “Show Player Email Status” to see the full list of email preferences for your group.

Step 5: Game Day — Live Scoring

On game day, each player (or a designated scorer) opens the Play Date and taps into the scorecard. Scores are entered hole-by-hole and sync in real time to the leaderboard. See Scoring & Scorecard Entry for the full scoring guide, and Checking the Leaderboard for how to follow live standings.
